Regional Reps

In an effort to reach members throughout the country, regional representatives have been organized to stay in touch with broad activities in California. It is a way to plan shows in different areas and to find new locations for travel shows, which are selected from annual exhibitions. Regional invitational shows have been held in Colorado and Arizona.

The responsibilities of the President are many and varied. They include presiding at all meetings, approving all publication drafts, securing venues for the Annual and All-Member Exhibitions and welcoming the jurors of our shows. But first and foremost is the responsibility of supporting the directors of the board as we serve all our National Watercolor Society members in our pursuit of excellence in watercolor.

The First Vice-President acquires the awards for the Annual Exhibition, assists the awards juror when selecting the award paintings, presents the awards at the Awards Luncheon, ships awards to winning artists unable to attend presentation, and sends exhibition catalog and thank-you letters to all donors.

The 2nd Vice-President identifies and confirms five venues yearly for the traveling exhibit. This entails arranging the itinerary, handling administrative and logistical issues with each venue and coordinates with shipping company for the show to travel in a timely and safe manner between venues. In addition he acts as liaison between NWS and the regional representatives, and ssists on jury and awards day.

The 3rd Vice-President oversees printed communications to the membership (excluding Newsletter) and the public, obtains competitive bids for printing of all NWS collateral, and oversees the completion of these documents. He coordinates with Membership/Communications Chair to distribute and/or mail printed material to membership and public, and ssists on jury and awards day.

The 4th Vice-President is responsible for the publicity and public relations of the society; photographs NWS events and provides articles about society events to the newsletter editor, website, local newspapers and historian; submits Annual Open Exhibition “Call for Entries” to national magazines; oversees distribution of flyers for the Demonstration Series; assists on jury and awards day.

The Secretary is to be present at each board meeting to record the minutes and send them in a timely manner to all board members and regional reps. In addition, the secretary retains a copy of the by-laws at the meeting and is familiar enough with them to serve as an advisor to the Board when actions seem to be in conflict, updates the Nominating Committee handbook annually prior to their being sent out, and assists on jury and awards day.

The treasurer assists the President and the Director of Finance in preparing a budget, receives and records revenue, pays board-approved bills, reports monthly financial activity, prepares a year-end report, and submits records for audit and tax preparation. The treasurer also assists on jury and awards day.

The Membership/Communications Director collects postal mail, email, voice mail and disperses that communication to the appropriate board member. Responsibilities also necessitate sending dues reminders to member, letters and invitations to NWS members, as well as assisting on jury and awards day.

The Annual Exhibition Director processes and records all entries for Annual Membership Exhibition. The director assigns staff, prepares materials, and directs activities for jury day. In addition, the director advises the selected juror of policies and procedures to insure integrity and fairness to all entrants.

The position of Historian includes the collecting, archiving and maintenance of all historical, biographical and presidential files as well as the appraisal preparation, care and maintenance of the Permanent Collection and collection and storage of all exhibition slide/digital sets. Writing or collecting biographical information for the newsletter and Annual Exhibition catalog with regards to the “In Memoriam” and “Life Achievement Award” sections. Assist on jury and awards day.

The Finance Director chairs the Finance Committee. As such, he coordinates closely on financial matters with the President, the Treasurer and other board members having financial responsibilities. The Technology Director researches and advises on technology alternatives for online entry, website issues, video conferencing, converting info to cloud computing, as well as arranging for assistance for video support. The director also improves and manages the database, and supports the jury process.

The Fundraising Director seeks input on a fund-raising plan for the year, designs and presents to the board a long-range plan for fund development including a capital campaign for building improvements, and assists on jury and awards day.

The Building Director serves as chair of the Building Committee. Responsibilities include acting as liaison between architect, contractor, committee and board; setting priorities for next steps possible with funds available is a major concern as we move forward in this exciting process of realizing the National Watercolor Society Museum and Gallery; and assists on jury and awards day.

The facilitator works with the President to select the demonstrators and instructors and coordinates with the Exhibition Director. She also arranges for all requirements for the demonstrators and instructors. She is the lead in arranging for social events to welcome the demonstrators and instructors. Penny welcomes all members to come and join in the local support group of our events.
